10 tips for organising an online event

For a professional look of your online event, choose a live stream from a real studio. This will immediately create more impact than the umpteenth Zoom of Teams meeting.

But how do you do that? It is incredibly logical that this raises questions for you, such as:

Top 10 tips for organising a successful online or hybrid event

  1. Prepare well. Make sure you put most of your energy and time into the content and form of your programme. Then involve your technical party at an early stage. Then it will soon become clear what is possible, what is not and what costs you will have to deal with.
  2. Know that technology costs money. Rather than skimping on a camera or lamp, think about the value of your event and how the viewer experiences it. If you do it, do it right.
  3. Make sure you have stable wired internet with sufficient bandwidth. Wifi is not a secure option due to many outside influences.
  4. Take into account technical issues that have nothing to do with the viewer. Such as viewing monitors for speakers or chairman of the day. A countdown timer for the presenter. An 'earpiece' so the director can communicate to the presenter. Sufficient space for the director so they can work at a safe distance from each other.

5. Rehearse the whole programme. First technically, but also with everyone involved. You will come across things you had not anticipated.

6. Provide a nice background (backdrop) behind each camera shot. But with the person as the main subject.

7. Employ a professional chairperson or presenter. He or she can really 'bring' the viewer into the programme.

For more elaborate programmes, also use a stage manager/floor manager or recording manager. At the direction of the director, this will ensure that all speakers in the programme are in place on time, have a microphone, or other things that are important.

9. Use 'teasers' to keep the viewer motivated ('soon we'll talk to..., or 'another important announcement, award ceremony, fun quiz, great artist' etc.). And use video for that, too.

10. Use video and text in images to communicate clearly and inform the viewer throughout.
