Choosing the right meeting room goes beyond just booking a space. Because the room you meet in is closely related to the atmosphere you expect or want. Indeed, it even affects the meeting itself. If you are going to have bad-news talks, it helps to book a quiet room. Will it be a complicated meeting about next year's budget? Then it's nice if you have a room where you get quality audiovisual support to give your story power. A creative brainstorming session for new marketing campaigns? Then choose an inspiring space that excites and inspires people.
If you are going to hire a meeting room, keep these questions in mind.
Are you looking for a calm setting or do you prefer a modern look? And what colours match? You can customise our rooms in terms of lighting, for example. And that can come in handy. Orange, for example, works well for a teambuilding activity, while blue is ideal for training sessions. And red...? You guessed it: perfect for an exciting kick-off or important pitch.
Want to show or present something and need audiovisual support? Map out the necessary facilities in advance and check whether the location has them. At Jaarbeurs MeetUp we like to make things easy for you: we work with a Plug & Play system. Here you easily connect your laptop or equipment to our facilities. With one push of a button, you can adjust the room's technology depending on the needs of the meeting.
If you want to get together with a relatively small group, you don't need a huge space either. Better not, because it feels cold and impersonal. At the same time, you don't want the space to be too cramped and people to be on each other's lips. So look carefully at the number of participants. In Jaarbeurs MeetUp we have 30 meeting rooms in different sizes, with a capacity of 2 to 240 participants.
The boardroom setup is the 'classic' meeting setup we often use for smaller groups. Ideal for strategic meetings where everyone can see each other clearly.
This is an informal setting, where we (usually) do not use tables. Everyone sees each other, which creates a relaxed atmosphere. Ideal for team-building activities or having open conversations.
An exam setup takes you back to school for a moment. Here, the chairs and table are separate. Perfect for exams and tests where participants need to focus.
The name gives it away: a setup where everyone can look each other in the eye. This is ideal for discussions or meetings where you often engage in dialogue with each other.
A lesser known, but certainly no less effective, is the square seating arrangement. Here, participants sit in a square, with tables. Everyone can look at each other. A perfect setup for meetings where you expect a lot of interaction.
Do you give training sessions or seminars that require participants to focus or take notes? Then use the school setup. Tables and chairs are arranged in rows, facing the presenter.
A cabaret setup gives a cosy atmosphere and provides room for discussion. Tables are scattered around the room, with a few chairs around them.
A theatre setup is top when you are giving an important presentation where the focus is on the speaker. The chairs, without tables, are arranged in rows facing the stage on the speaker.
