5 tips for organising a successful shareholder meeting

You can only make a first impression once. And so the way the meeting starts affects the rest of the day. So make sure the entry is good. Be ready with a snack or drink, or start the meeting with inspiration. A personal message, a keynote or some other surprising element. Or put on some music on entry for a change. Even something so small, affects the mood.

A regular part of a shareholders' meeting is the results. But of course you don't have to drone on about these aimlessly. You can build a whole programme around this.

For example, make an impressive presentation or book a guest speaker. This increases the engagement of your target audience, making them feel more connected. Also use storytelling, for instance, because numbers do not 'stick'. The story behind them does. Tell examples, customer cases or other personal anecdotes in between.

Love goes through the stomach. In business too. Therefore, don't skimp on catering. People take time in their (often busy) diaries to make room for the meeting, so make sure it is not for nothing. Tasty coffee, a good lunch or delicious appetisers: these can make someone smile. At Jaarbeurs we arrange this for you. For example, coffee, tea, juices and water are unlimitedly available in the central hall. And during the break times we provide a responsible snack. Any other ideas? Nice! Together we will be happy to see what suits you.

There are always people who cannot physically come. Therefore, make sure you make the shareholder meeting hybrid. This way, they can watch or join the meeting remotely. Choose a professional livestream in our livestream studio and also make it possible to join the discussion remotely. For example, via polls and Q&As. Also smart: record the meeting. This allows everyone to look back afterwards at what was discussed and decided.

It sounds crazy: organising a shareholders' meeting on a Friday. But this very thing turns out to be very effective. Friday afternoon drinks round off the working week. By combining the shareholder meeting with a cosy drink afterwards, you create connection. Plus, people have something to look forward to.
