Loading & unloading

Setting up and dismantling an event involves many logistical operations. The access route varies per event. This could be the Jaarbeurs access route or the external buffer location.

Please note the following for the loading and unloading zone:

Vehicles can load and unload in the loading and unloading zone between 07:00 and 23:00.
The loading and unloading zone is closed between 23:00 and 07:00.
Cars, buses, trucks, and trailers are allowed a maximum of 60 minutes for loading/unloading.
Articulated lorries are allowed a maximum of 120 minutes for loading/unloading.
Once your loading/unloading time has expired, please move your vehicle to a location outside the loading and unloading zone.
If vehicles remain in the loading and unloading zone beyond the allowed time, you will be charged €120,-.

VRS - Jaarbeurs approach route

Vehicle Registration System

At Jaarbeurs, we use a Traffic Registration System for cargo deliveries. This ensures that everyone has enough time to load/unload during the setup and dismantling of fairs and events.

To access the loading and unloading zone, you can reserve a time slot as early as four weeks up to 48 hours before the setup/dismantling day. This can be done via the link below. After making the reservation, you will immediately receive a confirmation email of the reservation. Within a few days, you will receive a confirmation of the time slot. Print this time slot and bring it with you on the setup/dismantling day. At the Jaarbeurs gate, your time slot will be scanned, granting you access to the loading and unloading zone.

The system allows you to load and uload quickly, safely and easily. Together we ensure a safer and more relaxed working environment.

Parking after loading and unloading

Due to space and passage of other vehicles it’s not allowed to park in the loading and unloading zone. You can park in one of the Jaarbeurs parking lots after loading and unloading. The regular rate applies here.

Vehicles over 2.70 meters can only be parked at P2

Please note: due to space and safety at Jaarbeurs, unattached trailers and trailers cannot be left at Jaarbeurs. A tow-away regulation is in force for this.

Environmental zone

Utrecht has new environmental zones that ban the most polluting passenger cars, trucks, vans, cabs, buses and mopeds and motorcycles from the city. With the environmental zone, Utrecht aims to improve air quality in the city. The new environmental zones for Utrecht fit within the national harmonization scheme for environmental zones.

In the coming years, the requirements, which apply within the environmental zone, will be increasingly tightened. From 2025 - 2030 the aim is to have only 100% emission-free transport in the environmental zones.

The overview below shows which requirements apply around Jaarbeurs for which type of vehicle.

Car: only diesel vehicles with emission class 4 and higher are welcome, year of construction 2005.

Van: only diesel vehicles with emission class 4 and higher are welcome, year of construction 2005.

Articulated lorry: only diesel vehicles with highest emission class 6 are welcome.

Bus/Touring car: only diesel buses with the highest emission class 6 are welcome.

At the instruction of the traffic officer, you can park your vehicle in the designated spot, after which you can register at the registering office directly opposite the entrance and exit of the buffer area.

When? When your registering location is the VRS - external buffer location, you must register at the external buffer location.

Why? We choose this so that we can direct traffic towards the Jaarbeurs if necessary. If traffic gets stuck on our grounds or on the approach route, we can buffer at the external buffer location and forward it to Jaarbeurs in phases.

There is a height gauge in front of the barrier; it is set at 2.70 meters

Vehicles under 2.70 meters may load/unload for a maximum of 60 minutes.
Vehicles over 2.70 meters may load/unload for a maximum of 120 minutes.

If your loading and unloading time has expired, the additional charge is €120.

It is not possible to extend a time slot. Exceptions can be requested from the Vehicle Registration System office at the registering location.

Because license plate and contact information are associated with the time slot, a time slot must be booked for each vehicle.

In the first two hours after the fair, only exhibitors are allowed to load/unload important items without a time slot.
From two hours after the end of the fair, it is possible for everyone with a time slot to be directed to the loading/unloading area.

After loading and unloading, you can park at P2 or P4. The regular parking rate applies here. It is not possible to park your vehicle in the loading and unloading zone.
