Rabobank organises festival for 10,000 employees at Royal Jaarbeurs

Organising a complete event for 10,000 employees in just three weeks may sound impossible, but that is precisely what Rabobank did. To celebrate its 125-year anniversary, the company pulled out all the stops to realise a large-scale event at Royal Jaarbeurs. How did they make this happen in such a short timeframe? “It all boils down to mutual trust,” says Rabobank event manager Hester Wilms.

“Rabobank has organised an employee festival on two occasions previously using a fixed concept developed together with our agency HDVP Events,” Hester explains. “These festivals were held at our own campus and featured acts by our own staff. We even manned the bar ourselves and were looking forward to doing something similar to celebrate our 125-year anniversary this year.” 
With the festival programme ready a couple of weeks ahead of the event date, ticket sales were opened. “All 4000 tickets were gone in less than 30 minutes,” says Paul van Stempvoort, owner of HDVP Events. “People were really keen and it seemed that everyone wanted to celebrate Rabobank’s 125-year anniversary. We had to come up with an alternative.” 

Shared ambition to create a great event

Contact was sought with Royal Jaarbeurs and, amazingly, the planned date was still available. From that moment on, the core team of Hester, Paul, Jan van den Elshout and various volunteers from Rabobank on the one hand and parties such as Dutch Matters, Boozed, The Food line-up, AVEX and, of course, Royal Jaarbeurs on the other, worked up to 13 hours a day. Even with such long hours it was a tall order but despite pressures of such a tight deadline, no-one involved had any doubts the would make it. 


“There was mutual trust between us all and no time to discuss everything in detail,” says Hester. “While there were of course occasional moments when we asked each other whether we could make it, everyone remained calm and forged ahead with confidence.” Paul smiles and agrees: “The drive within the team to create something special was so strong. And our contacts at Royal Jaarbeurs, Jasper and Hidde, were super-productive. We couldn’t have done it without them: they organised so much behind the scenes to allow us to realise our goal and we probably don’t even know the half of it.”

Full support

“The Royal Jaarbeurs team is used to providing full support to clients and knows how and where to help,” reflects Hester on the partnership. “I received a rental agreement with all the usual legal terms, for example, but Jasper took his time to walk me through it. At those moments you can tell you’re working with a highly experienced team.” 


And then the big moment arrived after three weeks of strenuous work. Everyone passing by Royal Jaarbeurs on 14 December will have seen it. Paul: “There was a 45-minute flow of 10,000 Rabobank employees heading to the complex for the festival and it made for a spectacular sight!” 


Asked how they look back on the event now, the pair start beaming. “It was madness,” says Paul. “Everyone from the company was so proud and the atmosphere was amazing.” “We could only have achieved this with the help of the right people,” adds Hester. “People who knew exactly what to do and were not afraid to take hard decisions when required.”

Fast response

As an example of the latter, Hester references the only moment of stress during the night itself, caused by a breakdown in the supplier’s IT system. “People couldn’t open the lockers at a time when 10,000 people were entering the venue,” explains Paul. “The Royal Jaarbeurs team quickly identified the problem and sought a solution. They have a very clear communication structure, where the right people were interlinked and in constant contact. It transpired that several cloakrooms were not being used so we were given access to them. Royal Jaarbeurs found staff to man these cloakrooms after just a few brief exchanges via walkie-talkies. Yes, it was a moment of stress, but it was superbly resolved.”

Mutual trust

Paul and Hester now look back at the festival with enthusiasm. Hester: “It was amazing to be involved. Although I’ve been organising events for 20 years this was by far the largest. And except for the lockers, everything went perfectly. This was really down to the mutual trust we had. It made me wonder why – if you’re confident something is going to be fine – it can take two years to develop a product when we can organise something on this scale in just three weeks?”
